Duties & Responsibilities

  • Greet clients and visitors with a warm and welcoming demeanour, ensuring a positive office atmosphere.
  • Answer incoming phone calls, screen and direct them to the appropriate offices or individuals.
  • Take accurate and detailed messages, and relay them to the respective recipients in a timely manner.
  • Organize and maintain physical and electronic files and records, ensuring they are up-to-date and easily accessible.
  • Create and update various documents and spreadsheets, ensuring accuracy and completeness.
  • Oversee the sorting and distribution of incoming mail, ensuring timely delivery to the designated recipients.
  • Prepare outgoing mail items, including envelopes and packages, and ensure their timely dispatch.
  • Provide general administrative support as needed, including photocopying, scanning, and faxing documents.
  • Assist with scheduling appointments and managing calendars for executives or staff members.
  • Collaborate with other team members to ensure smooth office operations and effective communication.

Requirements and Qualifications as Front Office Executive

  • Proven customer relationship skills, with the ability to provide exceptional service to clients and visitors.
  • Graduation from an accredited institution or equivalent work experience.
  • Excellent verbal communication skills in Malayalam English.
  • Proficient in using computer applications such as MS Office (Word, Excel, Gmail).
  • Strong organizational and multitasking abilities, with keen attention to detail.
  • Ability to handle phone calls and prioritize tasks efficiently.
  • Professional and friendly demeanour, with outstanding interpersonal skills.
  • Ability to maintain confidentiality and exercise discretion.
  • Flexibility to adapt to changing priorities and work effectively in a team environment.
